We confirm your reporting position, identify the relevant deadline, and check for HDC or importer considerations. You provide your SKU list, aggregated annual units, packing workflow summary, and supplier/3PL contacts. We do not ask for customer-level order data.

Build the packaging BOM & chase specs
For every SKU, we identify packaging components, assign activity codes, map materials to valid EPR categories, and record weights. With your permission, we contact your suppliers directly. If specs are unavailable, we apply a structured measurement protocol and log every estimate.

Aggregate & run the QA Gate
We aggregate totals by packaging activity, type, class, material, and country — converting to whole kilograms as required. Before export, we run our non-negotiable QA checklist: all 15 headers, no blank rows, no zero-weight rows, field logic, and a plausibility check against your shipped units.

Deliverables & approved person sign-off
You receive the upload-ready packaging_data CSV and the Evidence & Assumptions Summary. Before anything is submitted, your approved person reviews and confirms the data and assumptions. This creates a clean, documented responsibility boundary.

Submission support & close-out
You log into the RPD portal — we guide the upload in real time. If the portal throws errors, we troubleshoot and re-export on the spot. We save submission proof and give you practical recommendations to reduce next year's effort. BOM maintenance retainer available to keep things current.

Before we export anything, every file passes a structured checklist. These are the exact failure modes that cause portal rejections — we catch them before you ever log in.

  • All 15 required column headers present and in the correct order
  • Header row is the first row; data begins immediately after
  • No blank rows anywhere in the file
  • No zero-weight rows — deleted before export
  • No extra columns beyond the 15 required
  • Weights in whole-number kilograms — no decimals
  • SP row logic correctly applied (packaging_type, organisation_size, packaging_class)
  • HDC row logic correctly applied where applicable
  • Plausibility check against annual units shipped/sold
  • File exported as CSV — not .xlsx

Our structural guarantee

We guarantee that the packaging_data CSV we deliver will be structured to the current file specification and will upload successfully in the RPD portal when used as instructed.

If the upload fails due to a formatting or structure issue introduced by us, we will correct and re-issue the file within 24 hours at no additional charge.

Does not cover incorrect or incomplete client inputs, government requirement changes after delivery, or regulatory enforcement matters. Estimated values are documented and require approved person sign-off before submission.
